Fuji Xerox Global Services was tasked with helping the Roads and Traffic Authority of New South Wales find a cost-effective solution to the problems associated with having a profusion of outdated office machines that were spread out among its more than 180 offices. Fuji Xerox Global provided the RTA with a solution that involved multi-function devices, pay per impression strategy and a single contract service agreement. All of this has resulted in the RTAs carbon emissions being reduced by 13 tonnes, a 25% reduction in energy use and an overall cost savings of nearly $4 million over five-years. The RTA also plans to reduce paper consumption with the implementation of better workflow through the use of the equipment supplied and maintained by Fuji Xerox Global Services.
The challenge presented to Fuji Xerox Global Services involved an agency that is responsible for testing and licensing of drivers, registration of vehicles, managing the New South Wales road network and most importantly, improvement of road safety.
These responsibilities necessitated the use of an assortment of over 2,100 machines that were supplied by different manufacturers; all of which had different service contracts. The frustration among the 6,900 employees caused by things such as differences in device maintenance contracts, service provision and technical support was more than evident. To add to the challenge, all government agencies in New South Wales are not permitted to have any capital expenditure on their service contracts. The final issue to be resolved was that the RTA also wished to limit its environmental impact through the utilisation of equipment that was designed for best practice environmental standards.
Each of these challenges were met by Fuji Xerox Global Services with a plan that involved multi-function equipment covered by one contract utilising a pay per copy rate. Under this contract all of the RTAs equipment was upgraded to single devices that handle multiple functions such as facsimile, copies and printouts. Since these newer machines also operate at higher levels of efficiency with lower energy consumption, the second part of the solution provided for less impact on the environment. Ultimately, Fuji Xerox Globals plan to cover everything on the contract with a pay per impression rate created a 5-year savings of about $4 million for the RTA.
With the solutions provided by Fuji Xerox Global Services, the RTA is able to save money, help the environment and concentrate on its number one priority; the drivers of New South Wales.
According to Road and Traffic Authority, there will be only one supplier of office gadgets, i.e. printers, facsimile gadgets and photocopiers: www.fujixerox.com.au A case study has been made to show the strategic advantage of their plan http://www.fujixerox.com.au/docs/case_studies/RTA_Case_Study.pdf
